Our client is an established and successful high-volume manufacturing company based in North Tyneside. They are currently looking for a Part Time Personal Assistant to join their team on a permanent basis. This role will be based on 18.5 hours per week. Job Specification

The Role

  • To make arrangements for meetings including the booking of venues, sending invitations, organising agendas and taking minutes.  Undertake progress/chasing tasks arising from meetings.
  • To receive, screen and prioritise all incoming emails and correspondence
  • To prioritise tasks, keep track of deadlines and ensure that critical issues are identified and referred to the director along with any supporting documentation.
  • To manage the Director’s diary, to ensure that urgent and/or important appointments are given priority and that efficient use is made of time.  This includes liaising with relevant staff to avoid potential diary clashes and using initiative to re-prioritise commitments.
  • To administer financial expenses on behalf of the Director
  • To set up and service meetings, arrange other events and visits.  This will include all travel and accommodation arrangements, lunch bookings, preparation and distribution meeting papers, taking minutes of meetings and ensuring follow up actions are taken.
  • To assist with the production of promotional materials and other communications.  To design and produce slides and posters for use as required.
  • To identify, implement and maintain effective office procedures and systems to ensure that the support to the Director is efficient, timely and accurate.
  • To produce and update spreadsheets and presentations including PowerPoint.

The Person

  • Personal Assistant (or similar) experience within manufacturing environment.
  • Must have the experience and ability to support a senior executive as well as meet and greet VIP’s who visit the site.
  • Educated to A’ level standard or equivalent
  • Excellent administrative skills, including experience of setting up filing systems, preparing for meetings, managing diaries etc
  • Ability to maintain confidentiality
  • Ability to work under pressure
  • Ability to prioritise workload
  • Excellent time management, planning and organisation skills
  • Able to communicate effectively, both orally and in writing
  • Excellent IT skills including the full Microsoft Office package
  • Ability to manipulate and analyse information for management use
  • Ability to use initiative
  • Experience of supporting committees and meetings
  • Experience of coordinating and running events
